Job summary

WerkShoppe, a growing importer of puzzles and consumer products, seeks an experienced Senior Bookkeeper to own day-to-day accounting in QuickBooks Online. You will reconcile data from inventory, e-commerce, and wholesale platforms for clean month-end and year-end books.

Responsibilities include AR/AP, reconciliations, payroll, tax compliance, and AI-assisted optimization. On-site role in Flourtown with training and standard weekday hours.

Qualifications

• 5+ years of bookkeeping experience, including A/R, A/P, reconciliations, and payroll; consumer goods or wholesale experience strongly preferred.
• Advanced, hands-on QuickBooks Online experience required; QuickBooks ProAdvisor certification preferred.
• Strong Excel skills and proficiency with Microsoft 365 (Outlook, OneDrive, SharePoint).
• Fast, accurate data entry and high attention to detail.
• Clear, professional written and verbal communication with customers, vendors, and outside accountants.

Responsibilities

• QuickBooks Online: Record and categorize transactions, maintain the chart of accounts, and keep the general ledger accurate.
• Accounts receivable: Create invoices, apply customer payments, send statements, monitor aging, and follow up on overdue accounts.
• Accounts payable: Enter and verify vendor bills, schedule payments, maintain vendor records, and resolve discrepancies.
• Bank and credit card reconciliations: Reconcile all accounts monthly and investigate unmatched or unusual transactions.
• Cash management: Monitor balances, record deposits, process ACH, wire, check, credit card, and PayPal payments, and support cash flow planning.
• Payroll and benefits: Oversee payroll with our payroll provider, including benefit deductions, payroll tax payments, quarterly filings, and year-end W-2s.
• Sales commissions and royalties: Calculate, review, report, and pay commissions and royalties.
• Tax and compliance: Maintain sales tax records, collect W-9s, and prepare 1099s.
• AI and automation: Use AI tools to streamline routine work such as transaction categorization, reconciliations, data clean-up, reporting, and documentation. Review all AI-generated output for accuracy, and help identify new ways to automate manual processes.
• Internal controls and recordkeeping: Keep organized financial records, follow approval procedures, protect confidential information, and flag discrepancies or unusual activity.
• Outside accountants: Provide reconciliations, reports, and documentation for month-end, year-end, and tax filings.
