Payrate: 24.00-26.90/hr
Schedule: Monday–Friday, 6:00 AM–2:30 PM

Summary
We are seeking an experienced Senior Administrative Assistant to provide high-level administrative support in a busy office environment. This position supports management and departmental operations and may involve handling complex, confidential, and highly sensitive information.
The ideal candidate is organized, professional, detail-oriented, and comfortable managing multiple priorities while working independently. This role requires strong communication skills, sound judgment, and the ability to support managers, directors, and other senior-level leaders.
Work Environment
This is an onsite office-based position in Seattle, Washington. The role involves regular computer and administrative work, including keyboarding, filing, paperwork, calculating, reaching, fine hand manipulation, and other standard office activities.
Key Responsibilities
- Provide high-level administrative support to management and departmental teams.
- Serve as a key point of contact for internal and external inquiries.
- Greet visitors, screen calls, take messages, and respond to routine requests.
- Manage calendars, appointments, meetings, and departmental schedules.
- Coordinate meetings, conferences, and special events, including catering, travel, lodging, presentation materials, and equipment.
- Prepare, compose, edit, and proofread correspondence, reports, presentations, and other business documents.
- Collect and maintain information for reports, charts, graphs, spreadsheets, and databases.
- Organize and maintain departmental files, databases, and business records.
- Sort and distribute departmental correspondence and prioritize incoming requests.
- Order office supplies, monitor inventory and equipment, and coordinate service or repair requests.
- Assist with departmental budget activities, expense reports, expenditures, and accounting records as needed.
- Research complex or non-routine administrative questions and apply departmental policies and procedures.
- Support improvements to office processes and help ensure effective use of equipment, materials, and workspace.
- Provide work direction or act as a lead resource for clerical or administrative personnel when needed.
- Handle confidential information with professionalism, discretion, and sound judgment.
Required Qualifications
- High school diploma or GED.
- Strong administrative support experience; 4+ years preferred.
- Intermediate to advanced computer skills, including Microsoft Word, Excel, and Outlook.
- Strong written and verbal communication skills.
- Excellent organizational, prioritization, and time-management abilities.
- Ability to manage multiple projects and priorities simultaneously.
- Strong attention to detail and ability to adapt to changing priorities.
- Ability to work independently with minimal supervision.
- Professional interpersonal and telephone communication skills.
- Ability to exercise discretion and maintain confidentiality.
- Strong work ethic and commitment to maintaining a positive work environment.
Preferred Qualifications
- College degree in Business Administration or a related field.
- Advanced proficiency with Microsoft Word, Excel, and PowerPoint.
- Intermediate proficiency with Microsoft Access.
- Previous experience supporting managers, directors, executives, or a large department.
- Experience coordinating meetings, travel, events, expenses, budgets, or departmental records.
