Position Overview:
The Administrative Assistant will provide comprehensive administrative support to executives and office staff, ensuring smooth day-to-day operations. This role involves managing schedules, coordinating travel, and serving as a key point of contact for internal and external stakeholders. The ideal candidate will be highly organized, detail-oriented, and able to handle multiple priorities in a fast-paced environment. Must be legally authorized to work in the United States.
Responsibilities of the Administrative Assistant:
- Oversee calendars, schedule meetings, prepare conference rooms, and maintain timelines to ensure efficient operations.
- Book domestic and international travel and coordinate meeting logistics for executive-level Board of Directors.
- Manage inventory for office supplies and distribution of shipping items.
- Manage event details for off-site meetings and proactively identify and resolve scheduling conflicts.
- Process and reconcile expense reports using Concur to ensure timely and accurate submissions.
- Serve as a primary point of contact for internal teams and external partners, maintaining professionalism at all times.
- Assist with general office operations and provide support for ad hoc projects as needed.
Required Experience/Skills for the Administrative Assistant:
- Ability to work effectively with high-level executives while maintaining professionalism and discretion.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Experience handling confidential information with integrity.
- Ability to adapt quickly to changing priorities in a fast-paced environment.
Preferred Experience/Skills for the Administrative Assistant:
- At least 1 year of administrative experience, including booking travel and managing calendars.
- Experience supporting executive-level leadership.
- Strong problem-solving skills and ability to anticipate needs.
- Knowledge of event coordination and logistics planning.
- Ability to work independently and as part of a team.
Education Requirements:
- Bachelor’s degree preferred.
- Equivalent combination of education and experience will be considered.
- Coursework or certification in Business Administration or Office Management is a plus.
