ESSENTIAL FUNCTIONS

Invictus Academy is an independent public charter school located in El Cerrito and we are seeking a School Operations Manager to join our team who believes deeply that the mission, model, and values at Invictus are driving improved educational outcomes for students. This role is responsible for managing the daily operations that keep the school running smoothly and efficiently. The School Operations Manager directly supervises a small team that supports various operational functions essential to the daily running of the school.. Key areas of oversight include facilities coordination, vendor and inventory management, attendance and truancy follow-up, event logistics, meal programs, and general administrative support. The ideal candidate will be proactive, highly organized, and capable of balancing multiple priorities while ensuring that students, staff, and families experience a well-supported school environment. We are seeking an exceptional individual who is an experienced education leader to oversee and execute the following essential job functions and professional responsibilities:

  • Manage and coach the Technology Coordinator/Operations Assistant, Custodial Crew, and the Meal Service Provider.
  • Oversee the distribution, management, and security of all school keys.
  • Oversee the custodial crew, ensuring the campus is well maintained, safe, and clean.
  • Ensure a well-maintained facility, clean and safe learning environment in collaboration with the Director of Operations; manages the keys, bells, gate, day-to-day maintenance and stocking needs, opening and closing procedures.
  • Coordinate with facilities vendors to schedule and support campus repairs, inspections, and improvements.
  • Manage the purchasing and distribution of all school resources and low-cost services.
  • Coordinate with vendors to schedule services, track deliveries, and resolve basic issues to ensure consistent and reliable support for school operations.
  • Oversee goods received processes, ensuring timely receipt and proper documentation.
  • Manage school supply inventory levels and oversee restocking to ensure uninterrupted operations.
  • Manage uniform inventory, including purchasing and sales.
  • Coordinate and provide internal translation services and book external translation as needed.
  • Manage the translation budget and provide translation services when required.
  • Implement initial attendance interventions per school policy, including issuing truancy notifications and initiating family outreach calls as needed.
  • Document all attendance interventions and escalate cases of chronic absenteeism to the appropriate support team.
  • Support the Principal or their designee by coordinating logistics for school-wide and community events, such as cultural celebrations, 8th-grade promotion, and Back to School Night.
  • Assist with event setup, communication, and coordination of materials to ensure events run smoothly and meet school standards.
  • Supervise the meal program and food safety protocols by ensuring accurate record-keeping, regulatory compliance, and effective oversight of deliveries, temperature logs, and production documentation.
  • Collect and process alternate income forms and submit monthly documentation in CNIPs.
  • Ensure compliance with all meal program regulations and documentation, serving as the food program director.
  • Process invoices and code purchases to align with the school budget.
  • Book revenue and manage deposits to the bank.
  • Ensure the school bell schedule and shadow calendar are both updated and communicated to staff.
  • Ensure all operational processes align with the school’s goals and needs.
  • Maintains inventory of school and office supplies while ensuring adherence to the established budget.
  • Assists with purchasing goods and services as needed, ensuring compliance with budget guidelines and procurement procedures.
  • Orders and tracks instructional, discretionary, and elective supply requests in line with established budgets.
  • Daily management of schoolwide information systems, such as PowerSchool and CALPADS, ensuring student records are complete and accurate.
  • Coordinate sub coverage and logistics.
  • Supervise students during transitions such as arrival, passing periods, lunch, bathrooms, and dismissal.
  • Attend and participate in school-wide events including Back to School Night, Parent/Teacher conferences, End of the Year events, Grade Level Meetings, Department Meetings, Summer Professional Development, weekly Professional Development during the school year, and other assigned meetings.
  • Demonstrate proficient use of technology to communicate with staff, families, and community members using multiple school-based platforms.
  • Utilize Educational Technology platforms for curriculum development and planning.
  • Other reasonable duties as assigned by the Principal, Director of Operations, or an administrator.

  • Supervise and engage with students in-person to ensure student safety and learning.
  • Uphold and model core values, including purpose, perseverance, productivity, growth mindset, integrity, leadership, joy, gratitude, mindfulness, and kindness.
  • Perform any other reasonable duties or responsibilities as assigned by your supervisor.
  • Participate in the performance evaluation process, which is based on adherence to the outlined responsibilities and qualifications.
  • Navigate proficient use of technology.

PUBLIC SCHOOL EMPLOYMENT REQUIRED QUALIFICATIONS

  • Bachelor’s degree or equivalent work experience in education administration, operations, or a related field.
  • Pass a Criminal Background Check through the Department of Justice.
  • Obtain a negative TB reading prior to starting employment.

DESIRED QUALIFICATIONS

  • Previous experience in school operations or a similar administrative role preferred.
  • Strong organizational and time-management skills.
  • Ability to handle multiple tasks with a high degree of accuracy and attention to detail.
  • Experience with PowerSchool or similar student information systems.
  • Familiarity with meal program regulations and compliance standards.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Ability to manage confidential student and staff information with discretion.

WORK ENVIRONMENT AND PHYSICAL DEMANDS

This full-time and on-site position requires sufficient mobility to report to campus, work in an office, and engage with students, families, and colleagues, with or without reasonable accommodations. The role may involve light lifting, pushing/pulling, standing, sitting, and bending for extended periods. Success in this role requires working well under pressure, meeting deadlines, and adapting to stressful and unpredictable environments. The employee must effectively prioritize and organize tasks while maintaining open and respectful communication with families and community members using school platforms and technology. Attendance and active participation in school-wide events, professional development sessions, and other assigned meetings are essential.
