Job Description

Overview: To serve as the primary Secretary, Administrative Coordinator, and Communications Liaison for the School Committee. This role encompasses end-to-end meeting support, policy manual maintenance, official recordkeeping, and administrative management in direct consultation with the Superintendent and School Committee Chair.

Duties & Responsibilities

Meeting Management & Compliance

  • Attend all School Committee meetings in their entirety (in-person or remotely) with a high degree of flexibility to accommodate varying schedules.
  • Post all meetings, public hearings, agendas, and packets on behalf of the School Committee in strict accordance with Massachusetts Open Meeting Law.
  • Formulate, assemble, and distribute meeting agendas, information packets, and unresolved action items from previous meetings in collaboration with the Superintendent and Chair.
  • Distribute agendas and informational packets to Committee members, administrative leadership and the Association President.
  • Notify appropriate personnel of official actions taken by the School Committee following meetings.

Records, Policy & Website Maintenance

  • Create, transcribe, and preserve official permanent records, including meeting minutes for all public meetings and executive session meetings.
  • Present drafted minutes for formal Committee approval.
  • Maintain the official Policy Manual by tracking readings, revisions, and structural updates; ensure the online policy manual remains fully up to date.
  • Oversee the School Committee portion of the district website, ensuring accurate postings of member contact information, rosters, meeting schedules, agendas, packets, minutes, and policies.

Communications & Administration

  • Manage the official School Committee calendar and maintain updated member rosters.
  • Prepare official correspondence to and from the Committee as directed by the Chair and Superintendent.
  • Distribute Committee communications, such as newsletters, using the district email notification system.
  • Release approved information concerning Committee business to the press at the direction of the Chair or Superintendent (does not act as an official spokesperson).
  • Order and manage supplies for the School Committee through the school business office.
  • Inform Committee members of upcoming MASC meetings, conferences, and professional development opportunities, assisting with registration.
  • Participate in annual professional development and training relevant to school committee administrative functions, subject to Chair approval.
  • Perform other related administrative tasks as assigned by the Chair or Superintendent.

Job Qualifications

  • Education: High School Diploma required; Associate degree or higher preferred.
  • Experience: Previous administrative secretarial experience preferred, ideally within a school district or public sector administrative setting.
  • Technical Skills: Proficiency in Google Workspace (Docs, Sheets, Drive) and Microsoft Office (Word, Excel); strong operational familiarity with general office technology and web content management systems.
  • Communication: Exceptional mastery of English grammar, spelling, and professional writing standards for public sector recordkeeping and correspondence.

Work Location & Schedule

  • Work Location: Aside from attending live meetings, tasks are primarily performed remotely from the Secretary's home or chosen workspace.
  • Meeting Schedule:
    • Full Committee: Typically meets on the 1st and 3rd Thursday of each month at 7:00 PM.
    • Executive Sessions: Scheduled as needed, usually occurring on the same evenings as regular public meetings.
