Reporting to the Assistant Registrar for Scheduling, this position serves as a key operational and technical resource responsible for maintaining the University's schedule of classes, coordinating classroom

Qualifications

  • High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
  • Experience with academic scheduling, classroom management, and course scheduling systems (ConnectCarolina, 25Live, SPOTS).
  • Knowledge of FERPA and higher education operations; strong customer service and training material development.

Responsibilities

  • Maintain schedule of classes and coordinate classroom assignments.
  • Support New Student Seat Release and final examination scheduling.
  • Assist with system testing, documentation, and user training for scheduling tools.
  • Collaborate with faculty and campus partners to optimize instructional space and scheduling processes.

Primary Purpose of Organizational Unit

The Office of the University Registrar (OUR) serves several key duties as set from the Faculty Code of University Government:

1) OUR serves as the keeper of the academic records of all students registered in the University and issues official transcripts and reports of such records; 2) conducts the registration of all students in the University; 3) prepares and publishes the class and examination schedules; and 4) administers the faculty regulations relating to the removal of academic deficiencies incurred in this University and to compliance with probation and readmission requirements.

To fulfill these duties the office has following core service areas for and on behalf of the university community, including students, alumni, administration, faculty, staff, and other constituents.

Position Summary

The University of North Carolina at Chapel Hill seeks a Scheduling Specialist within the Office of the University Registrar (OUR) to support the administration, coordination, and continuous improvement of the University's academic scheduling and classroom space management operations.

Reporting to the Assistant Registrar for Scheduling, this position serves as a key operational and technical resource responsible for maintaining the University's schedule of classes, coordinating classroom assignments, and supporting the effective use of instructional space across undergraduate, graduate, and professional programs.

The Scheduling Specialist partners with academic departments and campus stakeholders to support course scheduling, classroom utilization, New Student Seat Release, final examination scheduling, and other institution-wide scheduling initiatives that promote student access, degree progression, and operational efficiency. The position also supports the administration of 25Live, SPOTS, and ConnectCarolina through system testing, documentation, training, business process support, and user assistance.

Working collaboratively with faculty, Student Services Managers, University Events, the Student Union, ITS, and other campus partners, the Scheduling Specialist interprets scheduling policies, resolves complex scheduling and classroom assignment issues, analyzes classroom utilization data, and recommends process improvements that optimize instructional space, enhance scheduling operations, and support the University's strategic priorities for enrollment growth and student success.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Management Preferences

Experience working in higher education, preferably in a Registrar's Office, Enrollment Management, Academic Affairs, or Student Services.

Experience with academic scheduling, classroom management, and course scheduling using ConnectCarolina (PeopleSoft Campus Solutions), 25Live, SPOTS, or comparable enterprise scheduling and student information systems.

Knowledge of academic scheduling practices, curriculum management, registration, final examination scheduling, and FERPA as they relate to higher education operations.

Demonstrated experience coordinating cross-functional projects, recommending process improvements, and supporting enterprise system testing or technology implementations.

Experience developing business procedures, training materials, and user training while building collaborative relationships and providing exceptional customer service to campus stakeholders.
