The Office of the University Registrar is looking for a Facilities Scheduling Coordinator to join our collaborative, service‑focused team. In this role, you will help ensure that Duke’s classrooms and academic spaces are scheduled efficiently, accurately, and in ways that meaningfully support teaching and learning. You’ll work closely with academic departments, instructors, and campus partners to manage semester classroom assignments, maintain the integrity of classroom data, and support the tools the university relies on for academic scheduling. If you enjoy puzzles, logistics, data accuracy, and cross‑campus collaboration, this role offers an opportunity to make a visible impact on the daily academic experience at Duke.

Minimum Requirements
  • Bachelor’s degree is generally required.
  • One year of experience working with student information systems or academic scheduling software in a higher‑education environment.
  • Demonstrated skills in data management and data reporting.
Preferred Qualifications
  • Knowledge of privacy and confidentiality protocols related to student information.
  • Familiarity with PeopleSoft Campus Solutions, CollegeNET 25Live Pro, and CourseLeaf.
  • Working knowledge of programming, query, or reporting functions.
Other Requirements
  • Excellent organizational and communication skills.
  • Ability to work productively with faculty, staff, and campus partners.
  • This position is hybrid. You will work 3 days remote and 2 days on‑site each week. This is subject to change based on need. Candidate should live within driving distance to Duke University.
Responsibilities
  • Manage classroom assignments for fall, spring, and summer semesters across six Duke schools and colleges, ensuring accurate and equitable room distribution.
  • Coordinate class scheduling processes throughout the academic year, partnering with academic departments, instructors, and student‑support offices to fulfill room requests and accessibility needs.
  • Optimize room utilization by identifying low‑enrollment courses or over‑capacity spaces and implementing solutions to maximize efficiency.
  • Administer 25Live Pro, including security management, routine data updates, technical support, and training for room schedulers.
  • Maintain accurate and consistent classroom data across PeopleSoft Campus Solutions, 25Live Pro, and CourseLeaf, including monitoring and troubleshooting system integrations.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $59,829 to USD $104,550. Duke University considers factors such as scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
