The Scheduling Coordinator II will ensure timely, accurate, and complete scheduling services for patients. This position follows established protocols considering availability, priority, and appropriateness when scheduling appointments for patients and providers.

1. Track all new and follow-up patient appointments using the scheduling system, working with providers and Care Centers to meet patient needs.
2. Monitor clinician leave requests and reassignments to ensure proper patient coverage, communicating concerns immediately to supervisors.
3. Track cancellations and no-shows, working with providers and staff to reschedule as needed according to policies.
4. Oversee maintenance and updates of various databases like Epic waitlists, Tickler File, and Internal Consult.
5. Monitor ongoing Plans of Care to maintain schedule accuracy and patient waitlists.
6. Stay informed of insurance requirements related to patient information collection.
7. Monitor insurance benefit thresholds and coordinate additional authorizations with relevant teams.
8. Communicate regularly with patients, clinics, and departments regarding insurance and scheduling issues, responding professionally and promptly.
9. Provide routine financial counseling and escalate patient issues to supervisors as necessary.
10. Maintain a general understanding of outpatient medical scheduling.
11. Assist in training new Scheduling Coordinators.

Education

• High School diploma or equivalent required.
• Associate’s or higher degree in human services, healthcare administration, or related field preferred.

Experience

• 3-5 years of experience in patient registration, scheduling, and coordination required.
