Scheduling Coordinator II (Care Center - Patuxent)

Overview

The Scheduling Coordinator II will ensure timely, accurate, and complete scheduling services for patients. This position follows established protocols, considering availability, priority, and appropriateness when scheduling appointments for patients and providers.

Responsibilities
  1. Track all new and follow-up patient appointments using the scheduling system. Collaborate with providers and Care Centers to ensure proper scheduling based on patient needs.
  2. Monitor clinician leave requests (planned and unexpected) and reassign to ensure appropriate patient coverage. Communicate coverage concerns immediately to the supervisor.
  3. Track all cancellations and no-shows for evaluation/treatment appointments using the scheduling system. Work with providers and administrative personnel to reschedule as needed, following department policies.
  4. Maintain and update various databases (e.g., Epic waitlists, Tickler File, Internal Consult).
  5. Monitor ongoing Plans of Care to maintain schedule accuracy, track open times, and manage the patient waiting list.
  6. Stay informed about all insurance requirements related to the collection of accurate information for each Care Center.
  7. Monitor insurance benefit thresholds and facilitate additional authorizations by working closely with the Care Management Office and Financial Counseling teams.
  8. Maintain regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage issues, and follow-up activities. Respond promptly and professionally.
  9. Provide routine financial counseling and seek supervisor assistance for complex patient issues.
  10. Develop a general understanding of scheduling across outpatient medical programs.
  11. Assist the supervisor in training new Scheduling Coordinators.
Qualifications
Education
  • High School diploma or equivalent required.
  • Associates or higher degree in human services, healthcare administration, or related field preferred.
Experience
  • 3-5 years of experience in registering, scheduling, coordinating, and operating patient services required.
