Visiting Angels Nashville, TN is seeking a Scheduler to coordinate services between clients and caregivers, ensuring adequate staffing and continuity of care. The role focuses on scheduling, calendar management, and timely follow-ups to meet client needs.

The successful candidate will handle scheduling shifts, verify attendance, document requests, and stay aligned with care plans, while maintaining a compassionate and professional client experience.

Responsibilities

• Schedule shifts, including urgent openings and new clients.
• Schedule first visits for Training and Retention on Google Calendar.
• Verify shifts and document time off and vacation requests.
• Follow up with clients about schedule changes within 15 minutes.
• If clock-in is missed, contact caregiver/family within 15 minutes.
• Perform client management follow-up after first week and every 30 days.
• Review care plans with caregivers for new clients and fills-ins.
• Manage angel badges and keep birthdays/anniversaries up to date.
• Nominate caregiver of the month and notify Allie.
• Answer phones and handle documentation.

POSITION PURPOSE: The Scheduler is responsible for coordinating services between clients and caregivers, implementing schedules, ensuring adequate staffing, and maintaining continuity of care to best meet the clients' needs.

PRINCIPAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS: The duties and responsibilities described below do not represent a comprehensive list for this position. Additional tasks may be assigned from time to time as necessary.

• Scheduling, which includes urgent open shifts, the addition of new clients, and ongoing open shifts
• Scheduling first visits for Training and Retention on Google Calendar
• Verifying shifts
• Documenting all time off and vacation requests
• Following up with the client regarding any schedule/caregiver changes within 15 minutes of notification
• If clock-in is missed, follow up with caregiver/family within 15 minutes of start of shift
• Client management follow-up via phone after the first week and every 30 days as a check-in with the family and client
• going over the care plan with the caregiver to make sure they are prepared when going to any client they have never been with, including just a fill-in
