Job summary

MANE is seeking a Logistics Coordinator at our Parsippany, NJ Creative Center to support sample logistics, labeling, documentation, and shipment tracking. You will work closely with Sales, Evaluation, and Project Coordinators to ensure timely sample movement and accuracy across multiple internal teams.

As a key member of the logistics group, you will help prepare labels and paperwork, monitor daily schedules, and coordinate courier services between MANE locations.

Qualifications

• High school diploma or equivalent required.
• College coursework or an associate degree preferred.
• 1–3 years of administrative, logistics, customer service, lab support, or related experience preferred.
• Experience in fragrance, flavor, cosmetics, or consumer products industry is a plus.
• Experience with spreadsheets, databases, shipping systems, or business software preferred.

Responsibilities

• Assist with preparation, labeling, documentation, and organization of customer samples for shipment.
• Support the Sample Logistics Project Leader in ensuring samples are prepared and ready for Shipping Coordinator.
• Review daily priority reports and organize activities by deadlines.
• Track status of sample requests, project closeouts, evaluations, approvals, and shipments.
• Update stakeholders on sample status, completion dates, delays, or issues.
• Coordinate with App Lab, Sample Lab, Oil Librarian and other personnel to support timely samples.
• Ensure samples are evaluated and olfactively approved before shipment.
• Prepare and verify labels, packing lists, shipping documents, and paperwork for shipments.
• Coordinate NYCC paperwork for shipments leaving New Jersey.
• Assist with daily courier services between MANE locations in Wayne, Parsippany, and NYC.
• Move products, bases, and samples between MANE locations.
• Maintain accurate records in systems and spreadsheets.
