Job summary

Hill-Murray seeks a Database & Reporting Manager to serve as the primary Salesforce administrator and steward of advancement systems. The role splits time evenly between Salesforce/Advancement and other departments including Admissions, Mission, Marketing, Technology, HR, and Facilities.

You will design reliable reports and dashboards, maintain data quality, and partner with leaders to drive data-informed decisions across the school. Training staff on Salesforce and reporting is also expected.

Responsibilities

• Serve as the primary contact for Salesforce administration, configuration, user support, and advancement systems; coordinate with IT and vendors as needed.
• Maintain accurate, consistent, and secure constituent records; establish data standards, validation rules, duplicate management, and documented procedures.
• Manage data integrations with online giving, event, wealth screening, matching gift, and other software.
• Design and maintain fundraising reports and dashboards for leadership, including goals and giving trends.
• Define reporting for gifts, pledges, receivables, and matching gifts; establish controls and exception reports.
• Develop reconciliation reports between Salesforce and accounting; investigate discrepancies.
• Support prospect research and wealth screening; maintain prospect ratings, profiles, and stewardship tracking.
• Maintain giving histories, relationships, and engagement data; create audience segments for campaigns.
• Train staff on Salesforce, reporting, and data standards; analyze campaign performance with the Communications Manager.
• Inventory data, reports, ownership, and integrations across Salesforce and school systems.
• Document data connections across systems; identify sources, identifiers, gaps, and consolidation opportunities.
• Drive future-state organizational reporting strategy.
• Maintain a report catalog with purpose, audience, data sources, calculations, and refresh cadence.
• Validate reporting accuracy with owners; set access controls for donor, student, family, employee, and financial data.
• Automate recurring reporting; document procedures and coordinate improvements with Technology.
