Job summary

Kaleidoscope is seeking an Implementation Specialist to own client onboarding from kickoff to launch and hand-off to Customer Success. You will guide requirements gathering, configuration, testing, training, and go-live while collaborating with Sales, Account Management, and Product teams.

The role emphasizes hands-on SaaS implementation, process improvement, and using AI to accelerate activities while maintaining high quality. Hybrid role in Minneapolis.

Qualifications

• Bachelor's degree or higher.
• 2+ years of experience in SaaS implementation, onboarding, or similar client-facing roles.
• Experience owning software implementations from kickoff to go-live.
• Experience gathering client requirements and translating workflows into configurations.
• Strong project management, organization, and follow-through skills.
• Technical aptitude and ability to learn new software platforms quickly.
• Ability to translate client goals into actionable implementation plans.
• Experience troubleshooting client issues and resolving challenges.
• Excellent written and verbal communication skills with clients and teams.
• Experience collaborating across Sales, Account Management, Customer Success, Product, or similar teams.
• Comfort using AI tools to improve productivity with judgment to validate AI-generated work.
• Attention to detail, ownership, and continuous improvement mindset.
• Passion for education, scholarships, and creating opportunities for students.
• Proficiency with Microsoft Office Suite.
• Ability to pass a background check.
• Authorized to work in the US for any employer.

Responsibilities

• Own multiple client implementations from kickoff through launch and hand-off to Customer Success.
• Gather requirements and translate client goals into clear implementation plans.
• Configure accounts, forms, workflows, and award cycle needs.
• Lead client workshops and help organizations build scholarship programs.
• Deliver training across core platform modules for client independence after go-live.
• Test across applicant, reviewer, contributor, and administrator workflows; provide support.
• Manage project timelines, milestones, risks, and client expectations.
• Define success metrics: time-to-value and go-live success.
• Partner with Customer Success for a strong hand-off and adoption foundation.
• Collaborate with Sales to understand client commitments and goals.
• Surface feedback and product gaps to internal teams.
• Be the internal implementation SME and advocate for quality.
