Job summary

Marquette Associates in Chicago is seeking an RFP Project Coordinator to support business development by delivering RFPs, questionnaires, and prospect materials. You will manage timelines, draft responses, and coordinate with internal experts.

The role reports to the Director of Marketing and requires organized, detail‑oriented communication, and the ability to manage multiple deadlines in a fast-paced environment.

Qualifications

• Bachelor’s degree required in Business, Marketing, English, Journalism, Communications, Writing, or related field.
• 2+ years of experience in an RFP role; financial services experience preferred.
• Strong written and verbal communication skills; ability to present complex information clearly and concisely.
• Strong project management, organization, and time-management skills with multiple deadlines.
• Ability to work independently, take ownership, and solve problems.
• Responsive, flexible, and accountable when working with stakeholders.
• Proficiency in Microsoft Office and ability to learn new systems; comfortable using AI responsibly.

Responsibilities

• Coordinate the project management of RFPs, RFIs, questionnaires, and related marketing initiatives.
• Draft, edit, and tailor standard and custom responses to address prospect questions and submission requirements.
• Create and format tables, charts, graphs, exhibits, and other supporting materials for RFP responses.
• Partner with internal subject matter experts to gather information for responses.
• Review final materials for accuracy, completeness, grammar, formatting, and compliance.
• Ensure messaging, brand standards, regulatory requirements, and quality controls are followed.
• Respond to prospect follow-up questions and coordinate additional information after submission.
• Maintain and improve the internal RFP content library with updates and content governance.
• Utilize approved AI technology to support drafting and editing with human oversight.
