The Franklin Group is seeking a Resident Ledger Specialist to maintain the accuracy and integrity of resident ledgers across our managed portfolio. You will process adjustments, including charges, credits, reversals, and transfers, and review documentation to ensure proper authorization.

You will collaborate with Property Operations, Compliance, Accounts Receivable, and Property Accounting to identify and resolve ledger exceptions, support audits, and maintain a clear audit trail.

Qualifications

  • 3+ years of hands-on experience with resident ledgers in Real Page and/or Yardi.
  • Experience with affordable housing programs and vouchers is a strong plus.
  • Solid understanding of accounting principles, reconciliations, and controls.
  • Detail-oriented with the ability to research complex ledger histories.
  • Excellent communication and cross-team collaboration skills.

Responsibilities

JOB SUMMARY

The qualified candidate will be responsible for maintaining the accuracy, completeness, and integrity of resident ledgers across Franklin Group’s managed portfolio. The Resident Ledger Specialist serves as the centralized resource responsible for processing, reviewing, documenting, and resolving resident account adjustments and corrections, including charges, credits, reversals, transfers, Housing Choice Voucher-related resident ledger adjustments, and other transactions necessary to ensure resident balances are accurate and properly supported. This position works closely with Property Operations, Compliance, Accounts Receivable, and Property Accounting and is expected to proactively identify and resolve ledger exceptions before they become larger account or audit issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Process approved resident ledger adjustments, including charges, credits, reversals, corrections, transfers, and other account entries.
  • Research and resolve resident ledger discrepancies identified by Property Operations, Compliance, Accounts Receivable, Property Accounting, residents, auditors, or management.
  • Review supporting documentation to ensure all ledger adjustments are accurate, appropriate, properly authorized, and adequately documented prior to posting.
  • Correct errors associated with rent charges, concessions, fees, security deposits, utility charges, move-in/move-out activity, Housing Choice Voucher-related resident ledger activity, and other resident account transactions.
  • Review and reconcile resident ledgers when discrepancies exist between lease documents, rent rolls, resident balances, Housing Choice Voucher documentation, and the property management system.
  • Coordinate with Compliance and Property Operations to process ledger changes resulting from interim certifications, annual recertifications, retroactive resident rent changes, Housing Choice Voucher adjustments, repayment agreements, and other approved changes affecting resident balances.
  • Reconcile resident accounts following move-ins, transfers, move-outs, unit changes, and other events affecting resident balances.
  • Own and administer a defined resident ledger exception and quality-control process designed to proactively identify, research, and resolve inaccurate, incomplete, unusual, or potentially unsupported ledger activity.
  • Routinely review established ledger exception reports and system-generated data, including credit and prepaid balances, aged receivables, unapplied or unidentified cash, unusual or excessive adjustments, duplicate charges or credits, inactive resident balances, move-out balances, Housing Choice Voucher-related discrepancies, and other anomalies established by management.
  • Research identified exceptions, determine the underlying cause, obtain supporting documentation, make or coordinate appropriate corrections, and document resolution in accordance with established procedures and internal controls.
  • Maintain and monitor an exception log or other tracking mechanism to ensure identified ledger issues are resolved within established service-level standards or appropriately escalated.
  • Identify recurring ledger errors, patterns, or systemic deficiencies and communicate findings to management to support training, process improvements, system configuration changes, or other corrective action.
  • Perform periodic quality-control reviews of resident ledgers to validate that charges, payments, adjustments, credits, and balances are accurate, appropriately supported, and consistent with applicable source documentation.
  • Maintain a clear and complete audit trail supporting all adjustments and corrections made to resident accounts.
  • Assist with internal and external audits by researching resident account activity and providing supporting ledger documentation.
  • Follow established internal controls, approval requirements, and segregation-of-duties protocols governing resident ledger transactions.
  • Maintain resident financial information with appropriate confidentiality and professionalism.

Salary Range is $24.00 - $28.00 per hour

The base salary range displayed represents the expected minimum and maximum compensation for this role at the time of posting. Final salary offers are determined based on multiple factors, including the candidate's relevant experience, specific skills, qualifications, and type of property.

Scope Note: Responsibility for submission, posting, reconciliation, and correction of Project Based Section 8 voucher activity is assigned to a separate centralized function and is not part of this position. The Resident Ledger Specialist may process resident ledger adjustments associated with Housing Choice Vouchers when required.

Preferred Skills and Qualifications
  • 3 years of hands‑on experience working with resident ledgers in Real Page and/or Yardi
  • Affordable housing experience is highly desirable.
  • Deep working knowledge of resident ledgers, rent rolls, lease charges, security deposits, Housing Choice Voucher payments and adjustments, credits, and other property management accounting transactions.
  • Experience with affordable housing programs, particularly Housing Choice Vouchers, LIHTC, HOME, and other programs affecting resident rent calculations and ledger activity, is a strong plus.
  • Strong understanding of basic accounting principles, transaction processing, account reconciliation, and internal controls.
  • Exceptional attention to detail and a demonstrated commitment to accuracy and completeness.
  • Strong analytical and problem-solving abilities, including the ability to research complex account histories and identify the source of discrepancies.
  • Ability to interpret leases, certifications, rent‑change documentation, subsidy information, and other source documents affecting resident accounts.
  • Excellent organizational skills and the ability to manage a high volume of transactions and requests while meeting established deadlines.
  • Independent, self‑starter able to work effectively with limited supervision while adhering to established policies, procedures, and approval requirements.
  • Excellent oral and written communication skills; high level of professionalism and ability to work collaboratively across Property Operations, Compliance, Accounts Receivable, and Property Accounting.
  • Ability to work overtime when required.
  • Positive attitude, strong work ethic, excellent interpersonal skills, and the ability to adapt as the company continues to develop and implement best‑in‑class centralized operating practices.
