Job summary

Blaze Equipment in Fort Worth, TX is seeking a Rental & Transportation Coordinator to manage day-to-day rental contracts, scheduling, and dispatch, ensuring safety, legality, and on-time moves.

You will coordinate with sales, service, and drivers, maintain fleet records, review DOT compliance, and support multi-branch operations. A CDL is a plus; strong ERP and MS Office skills are required. This role demands strong organization and clear communication in a fast-paced environment.

Qualifications

• 5+ years of combined rental coordination and transportation/dispatch experience (heavy equipment dealership preferred).
• High school diploma or GED required; CDL a plus.
• Working knowledge of DOT/FMCSA regulations (hours of service, cargo securement).
• Experience supporting multiple branches and balancing fleet utilization.
• Proficiency with rental or ERP systems and MS Office.

Responsibilities

• Open, extend, amend, and close rental contracts with accurate rates, terms, PO numbers, and billing detail.
• Quote rates and ancillary fees; convert inquiries into booked rentals with the rental sales team.
• Verify equipment readiness with Service; process off-rent, return inspection, and damage/fuel billing.
• Maintain fleet records: on-rent status, hour meters, mileage, and current location.
• Schedule and dispatch drivers and third-party carriers for delivery, pickup, and inter-branch transfers.
• Plan loads by equipment dimensions/weight/trailer type; ensure proper rated equipment.
• Tender freight to carriers; negotiate haul rates; verify authority and insurance; audit invoices.
• Communicate delivery windows and update all parties when schedules change.
• Keep DOT compliance knowledge current; verify permits and securement plans.
