Job summary

Panthera Grid Partners, LLC in Houston, TX seeks a Contracts and Procurement Administrator to support the procurement team with equipment purchase agreements, EPC and MSA contracts, and supplier management. You will track deliverables, production schedules, invoices, change orders and ensure compliance across the contract lifecycle.

Qualifications

• Bachelor’s degree in supply chain management, business, engineering, or related field.
• 3-5+ years of experience in contract/procurement admin, preferably in renewable energy or EPC.
• Adept knowledge of procurement fundamentals, contracting drafting principles, and project management methodologies.
• Excellent analytical and problem-solving abilities, with proficiency in data-driven decision-making.
• Familiarity with ERP/procurement software such as Procore or similar tools.

Responsibilities

• Support all day-to-day tasks related to supplier onboarding and vendor master maintenance.
• Review Certificates of Insurance and ensure insurance requirements are met.
• Convert Purchase Requisitions into Purchase Orders promptly.
• Investigate and resolve issues with POs, Change Orders, or Invoices.
• Collaborate with Project Managers to ensure efficient procurement practices across projects.
• Attend vendor meetings, take minutes, and track action items to closure.
• Serve as day-to-day contact for equipment suppliers and coordinate communications.
• Administer procurement agreements, track deliverables, milestones, and invoices.
• Maintain procurement/inventory trackers for equipment across projects.
• Identify risks and escalate potential issues to prevent project delays.
• Assist with RFPs/RFQs/RFIs and document/vendor responses.
• Maintain organized repository of contracts and procurement docs.
• Track payment status against schedules and verify deliverables before payment.
• Prepare reports/dashboards on equipment status, milestones, and risks.
