Job summary

Cushman & Wakefield is seeking a Timekeeping Coordinator to provide centralized administrative timekeeping support for front-line employees and leaders. You will act as a timekeeping system expert, handling reports, issue resolution, and escalations with a strong focus on accuracy and compliance.

The role emphasizes supporting managers and employees with timecard and payroll inquiries, in a high-volume environment, with remote work flexibility and occasional travel.

Qualifications

  • Associate degree in business administration, human resources, or equivalent experience, preferred.
  • At least 3 years of administrative, HR, payroll support, timekeeping, or customer service/support experience.
  • Timekeeping experience and/or timekeeping compliance exposure strongly preferred.
  • Experience supporting managers or employees with timecard, pay, schedule, or payroll-related questions preferred.
  • Experience in a high‑volume environment; prior support of 200+ employees or queue/inbox management experience preferred.
  • Intermediate computer skills, including Microsoft Office, Word, Teams, Outlook, and Excel; UKG/Kronos, Smartsheet, and JD Edwards experience a plus.
  • Willingness to become familiar with California timekeeping/compliance requirements for West Coast support strongly preferred.
  • Strong attention to detail, organization, follow‑through, and ability to manage repetitive tasks accurately.
  • Ability to troubleshoot issues, shift priorities as needed, and elevate appropriately.
  • Strong communication and relationship‑building skills with a passion for helping people.
  • Reliable, disciplined, and comfortable working independently in a remote hourly environment.
  • Flexible, adaptable, and open to learning established processes before recommending improvements.
  • Comfortable working Monday–Friday, holidays as required, and flexing as business needs require; overtime may be available but is not guaranteed.
  • Up to 10% travel annually, including potential initial in‑person training and occasional team meetings.

Responsibilities

  • Function as a timekeeping system “superuser” for several different client accounts.
  • Run daily reports to capture errors affecting accurate payroll.
  • Submit regular reporting on errors to field leadership based on supervisor direction.
  • Escalate errors to senior Operations leaders.
  • Weekly PTO reconciliation before close of payroll period.
  • Audit and enforce schedules in the timekeeping system for compliance.
  • Manage incoming request volume through escalation paths and timely responses.
  • Develop working relationships with other support function owners, contributors, and field team members.
  • Capture process improvement opportunities and coordinate with leadership to develop scalable solutions.
  • Drive related to special projects that increase efficiency and lower costs.
  • Other tasks & duties as assigned by leadership.
  • Function as timekeeping superuser for client accounts.
  • Submit regular reporting on errors to field leadership.
  • Escalate issues to senior Operations leaders.
  • Reconcile PTO weekly before payroll close.
  • Ensure compliance of schedules in the timekeeping system.
