Job summary

Cushman & Wakefield is seeking a Timekeeping Coordinator to provide central administrative timekeeping support for frontline employees and their leaders. This role ensures accurate, timely, and compliant timekeeping by assisting managers with system tasks, timecard review, reporting, and issue resolution.

Responsibilities include acting as a system superuser for multiple client accounts, running daily payroll reports, reconciling PTO, and escalating issues to leadership.

Qualifications

  • Associate degree in business administration, human resources, or equivalent experience preferred.
  • 3+ years in administrative, HR, payroll support, timekeeping or customer service roles.
  • Timekeeping experience or compliance exposure preferred.
  • Experience supporting managers or employees with timecard/payroll questions.
  • Experience in high-volume environments; 200+ employees or queue management experience preferred.
  • Proficient in Microsoft Office; familiarity with UKG/Kronos, Smartsheet, JD Edwards a plus.

  • Capture process improvement opportunities and coordinate scalable solutions.
  • Drive tasks related to special projects to increase efficiency and reduce costs.
  • Perform other duties as assigned by leadership.

Job description

Timekeeping Coordinator

The Timekeeping Coordinator provides central administrative timekeeping support to industrial front‑line employees and their leaders. This role supports accurate, timely, and compliant timekeeping practices by assisting managers with system tasks, timecard review, reporting, and issue resolution. The Timekeeping Coordinator will serve as a timekeeping system subject‑matter expert and provide a high level of customer service to managers, employees, HR, Payroll, and People Partners.

Hours

8am - 5pm PDT

Responsibilities
  • Function as a timekeeping system “superuser” for several different client accounts
  • Run daily reports to capture errors affecting accurate payroll
  • Submit regular reporting on errors to field leadership based on supervisor direction
  • Escalate errors to senior Operations leaders
  • Weekly PTO reconciliation before close of payroll period
  • Audit and enforce schedules in the timekeeping system for compliance
  • Manage incoming request volume through escalation paths and timely responses
  • Develop working relationships with other support function owners, contributors, and field team members
  • Capture process improvement opportunities and coordinate with leadership to develop scalable solutions
  • Drive on tasks related to special projects that increase efficiency and lower costs
  • Other tasks & duties as assigned by leadership
QUALIFICATIONS
  • Associate degree in business administration, human resources, or equivalent experience, preferred
  • At least 3 years of administrative, HR, payroll support, timekeeping, or customer service/support experience
  • Timekeeping experience and/or timekeeping compliance exposure strongly preferred
  • Experience supporting managers or employees with timecard, pay, schedule, or payroll‑related questions preferred
  • Experience in a high‑volume environment; prior support of 200+ employees or queue/inbox management experience preferred
  • Intermediate computer skills, including Microsoft Office, Word, Teams, Outlook, and Excel; UKG/Kronos, Smartsheet, and JD Edwards experience a plus
  • Willingness to become familiar with California timekeeping/compliance requirements for West Coast support strongly preferred
  • Strong attention to detail, organization, follow‑through, and ability to manage repetitive tasks accurately
  • Ability to troubleshoot issues, shift priorities as needed, and escalate appropriately
  • Strong communication and relationship‑building skills with a passion for helping people
  • Reliable, disciplined, and comfortable working independently in a remote hourly environment
  • Flexible, adaptable, and open to learning established processes before recommending improvements
  • Comfortable working Monday–Friday, holidays as required, and flexing as business needs require; overtime may be available but is not guaranteed
  • Up to 10% travel annually, including potential initial in‑person training and occasional team meetings

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $24.52 - $28.85
