Job summary

MedSchoolCoach is seeking a compassionate Student Success Specialist to be the primary contact for students and families, delivering timely support and a positive experience throughout their journey with MedSchoolCoach. This role emphasizes empathy, clear communication, and the ability to manage competing priorities and sensitive conversations.

You will collaborate with admissions, tutors, and advisors, conduct proactive check-ins, resolve concerns, and help optimize onboarding and ongoing

Qualifications

• Bachelor's degree from an accredited institution.
• Experience in a student-facing, client services, customer support, or relationship management role.
• Exceptional written and verbal communication skills, with the ability to communicate clearly, professionally, and thoughtfully with diverse audiences.
• Strong interpersonal skills, emotional intelligence, and the ability to build rapport with students and families.
• Demonstrated ability to navigate difficult conversations, manage complaints, and resolve conflicts with empathy and confidence.
• Excellent organizational skills, attention to detail, and the ability to manage multiple priorities while meeting established response timelines.
• Strong problem-solving skills and the ability to exercise independent judgment when evaluating situations and determining appropriate next steps.
• Ability to remain composed under pressure and adapt communication styles based on individual needs and circumstances.
• Proficiency with common productivity and communication tools, including Google Workspace and Microsoft Office.
• Willingness to learn about MedSchoolCoach's services, medical education pathways, and the unique needs of our students.

Responsibilities

• Serve as a primary point of contact for students and families via email and phone.
• Manage incoming inquiries, concerns, and complaints with timely acknowledgment (24–48 hours).
• Navigate sensitive situations with patience, empathy, and sound judgment.
• Build positive relationships, establishing trust in MedSchoolCoach's services.
• Conduct proactive check-ins during onboarding and early service stages.
• Investigate and resolve student concerns related to service delivery and scheduling.
• Collaborate with advisors, tutors, and internal teams to facilitate timely resolutions.
• Maintain accurate records of interactions, concerns, actions, and outcomes.
• Identify improvement opportunities and contribute to SOPs and documentation.
