Job summary

Great Minds seeks an Associate Services Planner to support Regional Services Operations. This role focuses on preparing and closing professional learning engagements, coordinating with coaches, customers, and internal teams to ensure accurate records and timely service delivery.

The ideal candidate has at least 1 year in planning and coordinating services, a detail-oriented approach, and a strong customer focus.

Qualifications

• 1+ year of experience in planning and coordinating professional learning or other services.
• Highly detailed and process oriented; able to manage many concurrent items and ensure timely completion.
• Commitment to meeting service level expectations.
• Proactive communicator that anticipates issues and resolves them to meet customer needs.
• Strong customer-centric orientation with ability to partner with internal teams.

Responsibilities

• Partner with Lead Services Planner to support end-to-end scheduling, staffing and completion of professional learning services in assigned territories.
• Enter approved staffing plans into scheduling tool and confirm assignments with coaches.
• Maintain accurate and high-quality records in the scheduling tool.
• Lead preparation activities for service sessions and coordinate logistics with customers.
• Arrange session logistics such as facilitation materials and internal coordination as needed.
• Ensure proper documentation for each customer and timely close-out activities (e.g., Coaching Debrief).
• Conduct pre-invoicing steps and coordinate with Accounting and Sales to resolve issues.
• Ensure timely completion of preparation and close-out activities per service level agreements.
