Job summary

Somewhere is seeking a Real Estate Transaction Coordinator to support a high-volume residential team from a remote location. You will ensure paperwork is complete, MLS data is current, and fees are accurate, from contract to closing.

You will coordinate with clients, agents, lenders, and title companies while maintaining audit-ready files and maintaining tight back-office controls in a fast-paced environment.

Qualifications

• Required experience supporting a U.S. real estate team or brokerage as a transaction coordinator or real estate VA.
• Solid working knowledge of the U.S. residential real estate transaction process, from contract to close.
• Hands-on MLS experience — listing entry, status changes, and closeouts.
• Exceptional organization and attention to detail, with the ability to manage many files at once without errors.
• Strong written and verbal English communication.

Responsibilities

• Set up and maintain transaction files from contract through closing.
• Ensure every file is complete, compliant, and audit-ready.
• Track key dates, contingencies, and deadlines across a high volume of contracts.
• Follow up with clients, agents, attorneys, lenders, and title companies to collect documents and signatures.
• Enter new listings and keep listing data accurate.
• Update listing statuses and closeouts.
• Manage the MLS lifecycle for each property accurately and on time.
• Prepare and edit master fee sheets and commission details.
• Verify all figures for accuracy before submission.
• Maintain clean, accurate records for every transaction.
• Communicate professionally with clients regarding document collection and file status.
• Coordinate with teammates to balance workload and keep deals moving.
