Job summary

Infinite Consulting Corp is seeking a highly organized Proposal Coordinator to manage multiple proposal deadlines and ensure timely, accurate submissions. You will work with prime consultants, subconsultants, and public agencies, coordinating content and maintaining proposal libraries.

The role reports to the Proposal Manager and requires strong organizational skills, attention to detail, and the ability to handle competing deadlines in a fast-paced environment.

Qualifications

• Bachelor’s degree in Communications, Marketing, Business, Journalism, English, or a related field.
• 2-4 years of hands-on proposal coordination or related experience, preferably within the A/E/C consulting industry.
• Experience with Adobe InDesign is preferred.

Responsibilities

• Coordinate proposal activities for multiple pursuits, tracking deadlines and ensuring quality, accuracy, and compliance.
• Collaborate with internal teams to gather required information and proposal content.
• Assist in coordinating prime and subconsultant proposals, including resumes, forms, and supporting documentation.
• Review proposal requirements to ensure submissions are complete and responsive to client needs.
• Utilize Adobe InDesign to prepare, format, and update proposal materials.
• Data entry and maintenance within CRM/ERP systems, including VantagePoint or similar platforms.
• Maintain organized proposal content libraries and templates.
• Support senior team members and progressively own assigned proposal packages.
