Talentoma is seeking a Program Coordination Associate for a fully remote, desk-based role that supports program management from home in Alabama. The position requires a 40-hour weekly commitment and offers coordination across project owners, milestones, and updates using tools like monday.com, Excel, and Google Calendar.

As an entry-level role, you will assist the program management team under guidance, helping colleagues understand next steps, track dependencies, and keep stakeholders informed

Qualificações

• High school diploma or equivalent.
• No experience required; related experience supporting programs, projects, or office coordination is preferred.
• Basic understanding of program milestones, task dependencies, action ownership, and the difference between an update and an approved change.
• Comfort learning shared task boards, spreadsheet trackers, and calendar tools through guided practice and established instructions.
• Ability to compare updates across related projects, spot missing information, and ask focused questions without making unsupported assumptions.
• Clear written and verbal communication for meeting notes, status summaries, follow-up messages, and respectful coordination with colleagues.
• Ability to organize assigned work, protect internal information, and recognize when an issue needs the program manager's direction.
• A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
• Authorization to work in the United States.

Responsabilidades

• Receive program requests through shared email and task queues, identify the requested activity, and route unclear requests to the program manager.
• Check incoming requests for objectives, assigned owners, target dates, and dependencies before adding approved activities to the shared program tracker.
• Maintain task details in monday.com, recording approved changes without changing priorities.
• Update milestone trackers using spreadsheets and Excel, checking dates and progress against updates.
• Arrange program check-ins through scheduling tools, confirming attendance and sharing agendas prepared with the program manager.
• Capture meeting decisions, action owners, and due dates, then distribute concise notes.
• Follow up with activity owners when updates are missing or deadlines approach, recording responses and highlighting unresolved dependencies.
• Escalate competing requests, stalled activities, and potential milestone delays to the program manager with a clear summary.
• Prepare routine progress summaries across related projects, reconcile conflicting updates with owners, and archive completed task materials.
• Support program evaluation and development by summarizing tracker accuracy, turnaround, notes, and improvement suggestions.
