Job summary

WSP USA is seeking a Power Delivery Project Management Project Coordinator to provide advanced administrative and logistical support for project teams. The role involves coordinating plans, managing information workflows, and ensuring timely task execution while serving as a liaison among project managers, internal departments, and external stakeholders.

Responsibilities include creating client deliverables, tracking milestones, administering contracts and submittals, and supporting procurement

Qualifications

• High school diploma or equivalent required.
• Minimum 5 years of relevant post-education experience.
• Advanced proficiency with Microsoft Office and project tracking tools.
• Experience with documentation management platforms (SharePoint, Procore).
• Knowledge of contracts, invoicing, and procurement controls.
• Ability to manage multiple priorities in a fast-paced project environment.

Responsibilities

• Develop and maintain detailed project logs, schedules, and status reports.
• Coordinate creation, formatting, and finalization of client deliverables.
• Lead administration and distribution of contracts, submittals, RFIs, and change orders.
• Track milestones and follow up to ensure completion of tasks.
• Manage internal documentation systems with version control and audits.
• Support cross-functional communication between project managers and stakeholders.
• Monitor project budgets, coordinate invoice approvals, and ensure timely payments.
• Assist with data entry for cost reports, timesheets, and vendor submissions.
• Prepare meeting agendas, record notes, track action items, and distribute follow-ups.
• Assist onboarding of project staff with access and credentials.
• Identify process inefficiencies and recommend improvements.
• Coordinate updates to dashboards and reporting tools with inputs from contributors.
• Support audit and compliance reviews with thorough documentation.
• Maintain safety, QA, and regulatory documentation distribution.
• Develop templates and workflows for project coordination.
