Job summary

HireHawk Inc. seeks a remote Personal Injury Case Administrator to support U.S. case managers in pre-litigation workflows.

You will coordinate patient communications, medical appointments, and document requests across a high-volume caseload, while translating with English- and Spanish-speaking clients. Working hours align with Pacific Time, and you will operate under Case Manager guidance, escalating only when needed.

Qualifications

• 1–3 years of hands-on U.S. personal injury case management.
• Experience supporting California personal injury cases.
• Bilingual English and Spanish with strong written and verbal communication skills.
• Experience using legal case management software to maintain case notes and tasks.
• Strong organization and ability to prioritize multiple cases and work remotely with minimal supervision.

Responsibilities

• Track daily priorities and support Case Managers with outstanding actions.
• Inform English- and Spanish-speaking clients about case updates, medical appointments, and treatment progress.
• Coordinate medical appointments, referrals, MRIs, injections, and treatments under the Case Manager.
• Follow up on attendance and treatment gaps to keep on track.
• Request medical records, billing statements, and documents from providers.
• Assist with insurance follow-ups and communications with adjusters.
• Maintain case histories and notes in the cloud-based system.
• Flag delays and escalate concerns to the Case Manager.
• Prepare organized records for the demand team with supporting materials.
• Coordinate case handoffs among Case Managers, attorneys, medical staff, and demand teams.
