Job summary

Harborview Medical Center in Seattle is seeking a Program Coordinator/Scheduler for the Pediatric Clinic. The role is part-time (80% FTE) with day shifts and telework options after a successful probation period.

Qualifications

• High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
• Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Responsibilities

• Triage medical information in a specific medical or surgical specialty.
• Schedule post-surgery diagnostic procedures and follow-up patient appointments.
• Act as a liaison between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments, admission, or surgery.
• Coordinate the exchange of information either written or verbally before and after patients are seen.
• Coordinate anesthesia.
• Obtain all necessary medical records, diagnostic studies, pathology items, etc., that are needed for patient care.
• Assist in scheduling new patient appointments by triaging to appropriate department and physician.
• Enter appointment information in online appointment system.
• Coordinate pre-admission tests and procedures.
• Schedule and ensure pre-anesthesia works-ups are completed.
• Utilized Epic EHR and advanced reporting tools to track, analyze, and report monthly physician performance against MIPS, HEDIS, and internal quality benchmarks.
• Coordinate the direct transfer of patients from outside hospitals to UWMC with physicians, medical staff, and Admitting Other assigned duties
