Job summary

The Pediatric Clinic at Harborview, part of University of Washington Medical Center, seeks a part-time Program Coordinator/Scheduler for 32 hours/week. This role emphasizes scheduling, triage, and coordinating care for pediatric patients, with responsibilities across pre‑admission tests, post‑surgery follow‑ups, and Epic EHR reporting.

Applicants should have a high school diploma and at least two years of experience in the program specialty, or equivalent education/experience.

Qualifications

• High school graduation or equivalent required.
• Two years of experience in the program specialty or equivalent education/experience.
• Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Responsibilities

• Triage medical information in a specific medical or surgical specialty
• Schedule post-surgery diagnostic procedures and follow-up patient appointments
• Act as a liaison between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments, admission, or surgery. Will coordinate the exchange of information either written or verbally before and after patients are seen
• Coordinate anesthesia
• Obtain all necessary medical records, diagnostic studies, pathology items, etc., that are needed for patient care
• Assist in scheduling new patient appointments by triaging to appropriate department and physician
• Enter appointment information in online appointment system
• Coordinate pre‑admission tests and procedures
• Schedule and ensure pre‑anesthesia works‑ups are completed
• Utilized Epic EHR and advanced reporting tools to track, analyze, and report monthly physician performance against MIPS, HEDIS, and internal quality benchmarks
• Coordinate the direct transfer of patients from outside hospitals to UWMC with physicians, medical staff, and Admitting
• Other assigned duties
