Job summary

Ballard Spahr LLP is seeking a Patent Project Administrator to provide high-level IP support. This fully remote role requires expertise with patent databases, docketing, and policy implementation across a national practice.

The position emphasizes process improvement, staff training, and collaboration with attorneys to deliver precise, timely client service while maintaining rigorous standards.

Qualifications

• Extensive knowledge of resources such as PAIR, IPDAS and IP Manager.
• Proficiency in IPDAS, IP Manager, Microsoft Office, Outlook and various database systems.
• Experience in strategic planning, project implementation, training development and staff supervision.
• Excellent written and verbal communication, critical thinking and analytical abilities.
• Ability to work under pressure, manage multiple detailed tasks and collaborate with attorneys and colleagues.

Responsibilities

• Coordinate with Senior Manager of Litigation and IP Paraprofessional Support to upgrade Patent practice software and review contracts and pricing.
• Support the Patent Docketing team with intake and outgoing file transfers and transfer materials.
• Onboard, train and develop patent practice LAAs on IP tasks.
• Monitor USPTO and international rules; prepare summaries for department leadership.
• Manage daily USPTO document downloads and distribute correctly.
• Develop and query reports within the IP Docketing system for workflow and projects.
• Implement new practices, policies and workflows; suggest improvements.
• Troubleshoot problems and communicate solutions to internal/external clients.
• Coordinate and develop client portals and maintain them.
