Job summary

Ballard Spahr LLP is seeking a Patent Docketing Specialist to support the IP Practice by managing docketing functions and ensuring policy compliance. The role requires extensive training and collaboration across offices in a highly coordinated team environment.

The position is fully remote. The incumbent will maintain patent docket databases, review communications for deadlines, and prepare regular docket reports for attorneys and clients.

Qualifications

• 5-7 years of substantive patent docketing experience in a law firm or corporate legal department.
• Strong understanding of USPTO rules, international patent procedures, deadlines, and national/regional phase requirements.
• Ability to analyze patent correspondence and verify deadlines.

Responsibilities

• Work with attorneys, paralegals, and admins to address patent-related issues promptly.
• Maintain docketing databases for domestic and foreign patent prosecution matters with deadlines and documents.
• Review communications on domestic/foreign filing, prosecution, renewal, and PTAB matters to determine actions and due dates.
• Check status of foreign and domestic patents via various websites and resources.
• Ensure database integrity with quality reviews of events, deadlines, and matter information; escalate discrepancies.
• Prepare monthly/weekly/demand-driven docket reports for clients and attorneys.
• Assist with special projects and other duties as assigned by attorneys and Manager.
