Ballard Spahr, a national law firm with a strong Intellectual Property Practice, seeks a Patent Docketing Specialist to support patent prosecution across domestic and foreign matters. You will manage deadlines, maintain docket databases, and collaborate with attorneys, paralegals, and staff to ensure timely action.

The role emphasizes accuracy, proactive communication, and the ability to work independently in a fully remote setting while supporting multiple offices.

Qualifications

• 5–7 years of substantive patent docketing experience in a law firm or corporate legal department.
• Experience with U.S., foreign, and PCT patent docketing; understanding of USPTO rules; deadlines and national/regional phase requirements.
• Ability to analyze patent correspondence, calculate and verify deadlines, and escalate concerns as needed.
• Reliability, professionalism, and flexibility to work extended hours when required.

Responsibilities

• Maintain docketing databases for all domestic and foreign patent matters, entering deadlines and attaching patent images.
• Review communications related to domestic/foreign filing, prosecution, renewal, and PTAB matters to determine actions and due dates.
• Ensure data integrity through quality review of docketed events and matter information; escalate discrepancies as appropriate.
• Prepare regular and ad-hoc docket reports for clients, attorneys, and staff on a timely basis.
