Job summary

Avicado, a growing technology consultancy, seeks a Business Operations Coordinator to keep projects moving and data accurate. You will collaborate with Sales, Contracts, Finance, and consulting teams, translating opportunities into active projects and maintaining clean data across Toggl, Excel, and Notion.

You will own the onboarding and closeout processes, perform routine data quality checks, and document SOPs that improve efficiency.

Qualifications

• Strong spreadsheet proficiency including lookups, filters, pivot tables and CSV handling.
• Experience onboarding employees, clients, or projects.
• Experience following SOPs with precision and multi-step processes.
• Familiarity with SaaS tools such as CRM, time-tracking, and workspace apps; quick learner.
• Sound judgment for gray areas and ability to explain decisions.
• Clear, written English and strong remote communication.
• Comfort with AI tools and ability to validate outputs.

Responsibilities

• Translate Salesforce opportunities into active projects in Toggl, the main project list (Excel), and Notion.
• Close completed projects across multiple systems and secure data consistency.
• Proactively resolve missing or conflicting information from Sales, Contracts, Finance, and consulting teams.
• Support project managers with time-entry changes and data updates.
• Update data sets when people are hired or move teams and perform weekly data quality checks.
• Run weekly and monthly maintenance SOPs and document recurring tasks.
• Join closeout, kickoff, and renewal conversations with Sales and consultants and align systems with team expectations.
