Job summary

Hireframe is seeking an organized Onboarding Coordinator to manage customer onboarding and installation projects from kickoff to completion. This remote role supports U.S.

Eastern Time business hours and requires strong customer service and multi-stakeholder coordination. You will work with customers, third‑party installers, and internal teams to ensure on-time delivery, quality installations, and thorough documentation.

Qualifications

• 2+ years of experience in project coordination, onboarding, or customer-facing roles.
• Excellent organizational and time-management skills with multitasking.
• Strong written and verbal English communication.
• Customer-first mindset with outstanding interpersonal skills.
• Experience coordinating across multiple stakeholders.
• High attention to detail and ability to follow processes.
• Comfortable working independently in a remote environment.
• Proficiency with Google Workspace or Microsoft Office.

Responsibilities

• Coordinate onboarding and installation projects from kickoff through completion.
• Schedule installation dates with customers and third-party installation vendors.
• Serve as the primary liaison between customers, vendors, and internal teams throughout the onboarding process.
• Track project milestones and ensure all required tasks are completed on schedule.
• Collect and organize customer documentation and project assets, such as site information and planograms.
• Communicate project updates, timelines, and next steps to all stakeholders.
• Escalate technical issues to internal engineering teams and coordinate communication until resolution.
• Perform remote quality assurance checks after installations to verify successful implementation.
• Maintain accurate project documentation and update internal tracking systems.
• Identify potential delays or risks and proactively work with stakeholders to keep projects on track.
