Job summary

Scale Army Careers is seeking a Flight Operations Coordinator for a fully remote role operating in a fast-paced private aviation environment. You will coordinate daily flight logistics, liaise with pilots, brokers, FBOs and vendors, and support scheduling and documentation within a Part 135 framework.

The role emphasizes exceptional customer service, accurate flight records, and proactive problem-solving to ensure smooth operations for passengers and crews across multiple flights.

Qualifications

• 2–5 years coordinating private aviation or Part 135 operations.
• Experience supporting business aviation flight departments.
• Experience coordinating with pilots, FBOs, maintenance providers, brokers and vendors.
• Familiarity with FAA regulations and private aviation procedures.
• Experience managing multiple flight operations simultaneously.

Responsibilities

• Coordinate daily flight logistics with pilots, passengers, brokers, FBOs, ground transportation providers, hotels, and maintenance vendors.
• Communicate flight schedules, updates, and itinerary changes to all stakeholders.
• Support the Operations team in managing day-of-flight logistics.
• Monitor timelines and proactively identify scheduling conflicts or disruptions.
• Assist with maintaining vendor relationships and pricing.
• Verify pilot expense reports and supporting documentation for accuracy and compliance.
• Monitor vendor performance and elevate service issues as needed.
