Job summary

RethinkFirst is hiring a Reconciliation Specialist to support its billing teams by reconciling therapy session reimbursements and posting payments across billing systems. You will interact with insurers, monitor AR, and ensure accuracy in accounts receivable while maintaining HIPAA compliance.

The role emphasizes attention to detail, communication with internal teams and insurance companies, and the ability to manage ERA/EOB workflows within Rethink’s billing platforms.

Qualifications

• HS Diploma or Equivalent
• Minimum 1-2 years payment posting experience
• ABA experience
• Experience using insurance company websites/portals
• Willing to learn, positive attitude and loves a good challenge
• Professional phone skills
• This role requires exceptional attention to detail, critical thinking and excellent communication with internal teams and insurance companies
• Speech, OT and Mental Health experience (preferred)
• Minimum 1-year experience working in an office setting (preferred)
• Minimum 1 year experience in billing both major commercial insurance companies as well as state Medicaid programs (preferred)
• Experience using Billing Software (Azalea, Kareo), EMR (Rethink) and Clearinghouse systems (Waystar, Trizetto, Availity)
• Proficient using Microsoft Suite (Outlook, Excel, Word) and Google Docs/Sheets (preferred)

Responsibilities

• Ensure HIPAA confidentiality with all client data
• Reconcile payments posted electronically from the clearinghouse
• Post manual payments in all billing platforms (Rethink, Tebra, Azalea)
• Review and interpret EOBs and ERAs
• Post payments from insurance portals
• Enroll in ERAs when applicable to reduce manual posting and monitor enrollment requests
• Communicate trends identified when posting to CBA/AR team
• Identify underpayments/overpayments and coordinate resolutions
• Measure and monitor key performance metrics
• Review and interpret payor contracts when applicable
• Foster a positive work environment
• Special projects as needed
