Job summary

Santa Barbara Cottage Hospital seeks a Behavioral Health Medical Virtual Assistant to support scheduling and patient intake for a US-based behavioral health practice. This remote role runs Monday–Friday 8:00 AM–5:00 PM Central Time, paying $5–$7/hour depending on experience and located remotely in the Philippines.

You will primarily answer patient calls, manage appointments across calendars, verify insurance, process referrals, and guide patients through intake with HIPAA-compliant care.

Qualifications

• Experience as Medical/Healthcare Virtual Assistant or similar role.
• Inbound patient calls and patient-facing communication.
• Strong spoken and written English.
• Strong scheduling/calendar management and preventing double bookings.
• Experience with EHR/EMR systems (eClinicalWorks or similar).
• Experience using Google Calendar with integrated scheduling.
• Experience using RingCentral or similar phone systems.
• Familiarity with patient intake, insurance verification, and prior authorization workflows.
• Ability to triage and escalate patient/clinical messages as needed.
• Attention to detail with patient information, referrals and appointments.

Responsibilities

• Answer inbound patient calls and document information.
• Schedule, confirm, and update patient appointments across calendars.
• Monitor emails/referrals and move prospective patients through intake to booking.
• Verify insurance and assist with prior authorizations and paperwork.
• Triage messages and escalate as needed; maintain accurate patient records in eClinicalWorks.
