Job summary

Extended Home Care in Manhattan is seeking a Rehab Services Scheduler to provide administrative and clerical support to the Rehab Services department, coordinating therapy placements and supporting day-to-day operations.

This role requires strong organizational and communication skills, experience in busy administrative environments, and familiarity with scheduling systems and healthcare information platforms.

Qualifications

• High school diploma or equivalent; some college preferred.
• Minimum of two years of experience in a busy administrative or clerical environment.
• Experience using telephone, fax, computer, scheduling systems, and electronic filing systems.
• Strong organizational skills and the ability to manage multiple tasks and priorities simultaneously.
• Computer literate with the ability to learn and effectively use scheduling and healthcare information systems.
• Strong verbal and written communication skills.
• Ability to communicate professionally and effectively with healthcare professionals, patients, and internal staff.
• Healthcare, home care, or rehabilitation experience preferred.

Responsibilities

• Review requests received from the Intake Services department to determine placement needs for PT, OT, and SLP services.
• Coordinate daily placement of PT, OT, and SLP therapists upon receipt of initial requests from Intake.
• Communicate with Case Managers regarding the therapist assigned to conduct evaluations and/or start of care.
• Receive follow-up notes and service change requests and generate PT, OT, and/or ST orders for continuation of services.
• Respond to Case Managers, Clinical Managers, and Rehab Managers regarding therapy placements and service interruptions.
• Notify the appropriate Rehab Manager of therapist schedule changes and variances.
• Enter required information accurately into McKesson and other applicable systems.
• Maintain accurate rehab placement logs, including therapist and patient information, and file documentation appropriately.
• Provide coverage and support for other Rehab Services administrative staff when needed.
• Provide responsive and professional customer service to therapists and internal staff.
• Communicate obstacles or concerns affecting job performance to the supervisor.
• Report suspected violations to the supervisor, Compliance Officer, or Compliance Hotline.
• Maintain patient rights and confidentiality in accordance with HIPAA and company policies.
• Perform other duties as assigned.
