Williams Mullen - Receptionist / Entry-Level Legal Administrative Assistant

Williams Mullen is seeking a receptionist with strong legal or professional services administrative skills who is driven by a desire to excel and eager to join a team committed to representing clients with distinction. The ideal candidate is detail-oriented, works with urgency, and aspires to grow into a Legal Administrative Assistant role. Responsibilities include providing front desk support and performing entry-level legal administrative duties in our Richmond office.

**Qualifications:**

  • Professional, well-organized, and detail-oriented
  • Self-starter with excellent oral and written communication skills
  • Ability to prioritize tasks and work under pressure
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

**Key Responsibilities:**

  1. Answer telephones, record and deliver messages promptly, and display professional courtesy.
  2. Greet clients, guests, and visitors, and welcome them to the firm.
  3. Monitor conference room usage, accept/decline bookings, order lunches, and coordinate with office services.
  4. Arrange appointments, notify clients, coordinate meetings, including catering and room scheduling.
  5. Organize and maintain correspondence, legal documents, and calendars, with familiarity of document management software (e.g., iManage) and comparison software (e.g., Workshare).
  6. Handle support services such as deliveries, copying, travel arrangements, and filings.

**Training will include:**

  1. Typing and submitting attorney timesheets, verifying client/matter numbers and practice codes.
  2. Maintaining client and firm files according to Records Department procedures.
  3. Preparing client bills and cover letters using Aderant software.
  4. Preparing expense reports, check requests, and other financial documents.
  5. Reviewing and routing incoming mail.
  6. Communicating effectively with clients, attorneys, court personnel, and internal teams.
  7. Assisting the records department, library, and administrative director as needed.
