We are seeking a highly skilled and motivated Office Manager to join our dynamic and fast-paced team. The ideal candidate will be responsible for overseeing the day-to-day administrative operations of our office, ensuring that the office runs smoothly and efficiently. This position will play a crucial role in supporting our team of engineers, managing office logistics, and providing superior customer service. The successful candidate will have a strong background in office management, with a focus on reconciliation, customer service, and advanced communication skills.

Responsibilities

  • Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
  • Manage office supplies inventory and place orders as necessary.
  • Perform receptionist duties greet visitors, answer and direct phone calls, and manage mail and package deliveries.
  • Assist in the preparation of regularly scheduled reports.
  • Develop office policies and procedures, and ensure they are implemented appropriately.
  • Assist with customer inquiries, providing excellent customer service and support.
  • Manage contract and price negotiations with office vendors and service providers.
  • Provide administrative support for operations team.
  • Monitor office expenses and costs.
  • Ensure that office is kept clean and organized.
  • Reconcile invoices and manage office budget.
  • Utilize advanced communication skills to develop and maintain strong relationships with team members, vendors, and customers.

Qualifications

  • A minimum of 5 years of experience as an Office Manager or similar role.
  • Bachelor’s degree in Business Administration or related field is preferred.
  • Strong experience in reconciliation and budget management.
  • Outstanding communication and interpersonal skills, with the ability to handle sensitive information with professionalism and integrity.
  • Excellent customer service skills, with a knack for building strong relationships with clients and team members.
  • Proficiency in Microsoft Office Suite and other office management software.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Detail-oriented and excellent problem-solving skills.
  • Knowledge of office administrator responsibilities, systems, and procedures.
