Position Overview
- Job Title: Receptionist/Administrative Assistant
- Location: 1712 Charlestown New Albany Rd. Jeffersonville, IN 47130
- Schedule: Monday–Friday, 9:00 AM–5:00 PM (40 hours/week minimum, may increase during peak season)
- Start Date: Immediate
- Employment Type: Full-time
Key Responsibilities
- Guest Services: Warmly greet guests, check them in, ensure their comfort (e.g., offering drinks or coffee), and notify agents of appointments or walk-ins, assigning walk-ins based on a round-robin system.
- Office Maintenance: Maintain a clean and organized office through tasks such as vacuuming, sweeping, dusting, and organizing shared spaces.
- Administrative Tasks:
- Update client information in our proprietary software and CRM system.
- File paperwork accurately and maintain organized records.
- Handle inbound phone calls and make outbound calls as needed, including following up on missed calls.
- Receive and distribute or notify staff of delivered packages.
- Onboarding Support: Assist with onboarding new Licensed Office Assistants (LOAs) and other staff members.
- Additional Duties:
- Manage and pay office bills using established methods.
- Prepare and mail thank-you and birthday cards for clients.
- Run errands as needed, such as picking up lunch or visiting the post office.
- Perform other tasks as requested by agents to support office operations.
Qualifications
- Reliability: Must have reliable transportation and a commitment to consistent full-time attendance.
- Communication: Clear, professional verbal communication skills, tailored to effectively serve clients aged 65 and older.
- Technical Proficiency:
- Proficient in Windows 11, Microsoft Office, Google Drive, and CRM software.
- Comfortable using a softphone and smartphone for business communications.
- Organization: Highly organized, detail-oriented, and proactive in maintaining a tidy workspace.
- Mindset: Self-starter, driven, ambitious, and a team player with a proactive approach to improving business efficiency.
- Professionalism: Friendly yet professional demeanor, maintaining a polished presence.
- Licenses: Valid driver’s license required.
- Availability: Able to work 40+ hours per week, with flexibility for increased hours during peak season (Annual Enrollment Period).
