About the Position

We are looking for a charismatic, outgoing, and energized person to join our team as a Receptionist/Admin Assistant! This position is the first point of contact for visitors and clients, providing a professional, courteous, and efficient front-line service. This position is responsible for managing the front desk, answering and directing phone calls, greeting guests, handling administrative tasks, and ensuring that the office operates smoothly. The Receptionist/Admin Assistant plays a critical role in maintaining a welcoming and organized environment for both staff and visitors.

Specific Duties and Responsibilities

  1. Front Desk Management:
    • Greet and welcome visitors in a warm, professional, and courteous manner.
    • Direct visitors to the appropriate staff or department.
    • Monitor and maintain the appearance of the front desk area to ensure it is neat and welcoming.
  2. Phone and Email Communication:
    • Answer, screen, and direct phone calls in a professional manner.
    • Take accurate messages and relay them to the appropriate staff member promptly.
    • Manage the company email inbox, ensuring timely responses and appropriate routing of messages.
  3. Administrative Support:
    • Perform general administrative duties such as filing, photocopying, faxing, and scanning documents.
    • Assist in scheduling appointments, meetings, and conference room bookings.
    • Maintain and update visitor & call in logs and office calendars.
    • Support employee communications from Safety & Fleet Departments.
    • Work with the Administrative Team for overall C&D Administrative Support.
    • Provide support to the following:
      • Accounting Department – Invoices, Collections, Statements, Checks, COINS.
      • Safety Department – MSA Management, Certificates of Insurance, Support for Annual Safety Day.
  4. Mail and Package Handling:
    • Receive, sort, and distribute incoming mail and packages.
    • Prepare outgoing mail and coordinate with couriers or postal services as needed.
  5. Security and Access Control:
    • Monitor and control access to the building by following the company’s safety & security procedures.
    • Ensure proper sign-in/sign-out procedures.
  6. Office Supplies and Inventory:
    • Assist in ordering and maintaining office supplies, ensuring stock levels are sufficient.
    • Keep track of inventory for office materials and ensure proper storage and organization.

Qualifications

Education: High School diploma or equivalent required;

Experience: 1-3 years of experience in a receptionist or customer-facing role; COINS system helpful, but not required.

Knowledge/Skills/Abilities: Strong verbal and written communication skills. Excellent interpersonal skills and a friendly, professional demeanor. Proficient organizational skills with the ability to multi-task and prioritize effectively and timely. Proficient in Microsoft Office. Ability to maintain confidentiality and handle sensitive information. Critical thinking and problem-solving ability required. Be a team player with good time management skills, excellent interpersonal and communication skills.
