Job Description - Receptionist
About the Role
Our client, a wealth management & retirement plans firm, is seeking a professional, organized, and customer-focused Receptionist to serve as the first point of contact for clients, visitors, and business partners. This role plays a key part in delivering an exceptional client experience while supporting administrative and operational functions of the office.
The ideal candidate is bilingual (English & Spanish), has strong organizational and communication skills, tech-savvy, detail-oriented, and comfortable interacting with clients in a professional, friendly, and confident manner.
Key Responsibilities
- Handle inbound and outbound client calls in English and Spanish, delivering courteous and professional service.
- Respond to general inquiries and provide accurate information to clients and visitors.
- Welcome clients, visitors, and vendors in a professional and courteous manner.
- Assist in the creation, preparation, and processing of client contracts and related documentation.
- Schedule appointments, meetings, and conference calls.
- Enter, update, and maintain accurate client records and documentation in internal systems and databases.
- Support onboarding and ongoing servicing of wealth management and retirement plan clients.
- Coordinate document collection, follow-ups, and compliance-related paperwork.
- Assist with scheduling, email correspondence, and client communications.
- Maintain confidentiality and handle sensitive financial and personal information with discretion.
- Support additional administrative and operational tasks as assigned.
Qualifications & Skills
- Intermediate English proficiency required (spoken and written), with the ability to answer and direct telephone calls, greet and assist English-speaking clients and visitors, respond to basic inquiries, and communicate effectively in a professional office environment.
- Previous experience in reception, customer service, or administrative support roles.
- Strong technology skills, including:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Excellent interpersonal and communication skills, with a client-focused mindset.
- Strong attention to detail, organization, and follow-through.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional demeanor and ability to interact confidently with clients and internal teams.
