Job Description - Receptionist
About the Role

Our client, a wealth management & retirement plans firm, is seeking a professional, organized, and customer-focused Receptionistto serve as the first point of contact for clients, visitors, and business partners. This role plays a key part in delivering an exceptional client experience while supporting administrative and operational functions of the office.

The ideal candidate is bilingual (English & Spanish), has strong organizational and communication skills, tech-savvy, detail-oriented, and comfortable interacting with clients in a professional, friendly, and confident manner.

Key Responsibilities
  • Handle inbound and outbound client calls in English and Spanish, delivering courteous and professional service.
  • Respond to general inquiries and provide accurate information to clients and visitors.
  • Welcome clients, visitors, and vendors in a professional and courteous manner.
  • Assist in the creation, preparation, and processing of client contracts and related documentation.
  • Schedule appointments, meetings, and conference calls.
  • Enter, update, and maintain accurate client records and documentation in internal systems and databases.
  • Support onboarding and ongoing servicing of wealth management and retirement plan clients.
  • Coordinate document collection, follow-ups, and compliance-related paperwork.
  • Assist with scheduling, email correspondence, and client communications.
  • Maintain confidentiality and handle sensitive financial and personal information with discretion.
  • Support additional administrative and operational tasks as assigned.
Qualifications & Skills
  • Intermediate English proficiency required (spoken and written), with the ability to answer and direct telephone calls, greet and assist English-speaking clients and visitors, respond to basic inquiries, and communicate effectively in a professional office environment.
  • Previous experience in reception, customer service, or administrative support roles.
  • Strong technology skills, including:
    • Microsoft Word

  • Excellent interpersonal and communication skills, with a client-focused mindset.
