Our client, a New York City financial services firm, is seeking a full time Receptionist to join their team. This role centers on high touch client service and keeping the office running smoothly. The position is fully in office.
RESPONSIBILITIES
- Greet visitors in a busy, high traffic reception area where clients, executives, outside companies, interview candidates, deliveries, and employees often arrive at the same time.
- Direct visitors to their meeting rooms. You will learn the office layout and get to know employees and investment teams, becoming the go to contact for general office questions from guests and colleagues.
- Register visitors and submit work orders daily through the building’s management system, working closely with the Office Manager and mailroom staff.
- Support the firm’s other New York area offices remotely from the Manhattan office.
- Answer and screen incoming calls following security protocols, delivering polished, high touch service in frequent phone and in person interactions with clients.
- Manage the conference room schedule and coordinate with mailroom staff so rooms are set up for each day’s meetings, including beverages, making judgment calls when meetings run past their booked time.
- Order catering for large and small internal meetings using online ordering platforms and other vendors, tracking recurring monthly catered meetings and staying ahead of each month’s schedule. Help plan and manage catering for occasional employee events.
- Assist the executive team with a wide range of administrative tasks, including gathering, preparing, and sharing information for internal and external meetings.
- Back up the Office Manager as needed, which may include managing calendars and communications for senior leadership and scheduling interviews and meetings for investment teams.
- Pitch in on special projects for any team and handle ad hoc requests as they arise.
REQUIREMENTS
- 1 to 3 years of reception experience, ideally at a financial services firm or another highly professional office, including ordering catering for meetings.
- Able to work in office 5 days per week, 40 hours per week, with overtime as needed.
- Friendly, positive demeanor with strong client service and verbal and written communication skills.
- Proficiency in Microsoft Office and the ability to quickly learn new systems, such as intranet, room booking, and building entry software.
- Highly organized problem solver who multitasks well, takes thorough notes, and resolves issues quickly with minimal direction.
- A “roll up your sleeves” attitude suited to a small firm, and willingness to fill in when a teammate is out.
