Description

The Legal Receptionist is a full‑time, in‑person position and serves as the first point of contact for our clients, prospective clients, medical providers, attorneys, insurance representatives, and visitors. This position is responsible for maintaining a professional and welcoming front office while also providing administrative support to our legal team. The ideal candidate is personable, dependable, highly organized, comfortable with technology, and able to handle multiple responsibilities in a busy law office while maintaining professionalism and confidentiality.

Schedule Monday–Friday | 40 hours per week. Workday begins at 8:30 a.m. In‑person at our Augusta, Georgia office. Reliable and consistent attendance is essential for this front‑desk position.

Primary Responsibilities
  • Greet clients, prospective clients, vendors, and other visitors in a professional and welcoming manner.
  • Answer and manage incoming telephone calls using professional phone etiquette.
  • Screen and route calls to the appropriate attorneys and staff members.
  • Take accurate and detailed messages and ensure they are promptly communicated.
  • Assist with scheduling appointments, meetings, and client conferences.
  • Maintain an organized, professional, and welcoming reception and front‑office area.
  • Use the firm's case management software to enter, update, and maintain client and case information.
  • Assist with opening and organizing new client files.
  • Manage and monitor medical record and billing request portals, including submitting requests, tracking their status, downloading records and bills, and properly saving documentation to client files.
  • Communicate professionally with medical providers, insurance companies, clients, attorneys, and other third parties as needed.
  • Assist with preparing and formatting basic correspondence and legal documents.
  • Scan, upload, organize, and maintain documents within electronic client files.
  • Perform accurate data entry and maintain complete and organized case information.
  • Assist attorneys, paralegals, and other staff members with general administrative duties.
  • Handle sensitive and confidential client information appropriately.
  • Help ensure clients receive prompt, courteous, and compassionate service throughout their interaction with the firm.
  • Perform other administrative and law‑office duties as needed.
Qualifications
  • High school diploma or equivalent required.
  • Previous receptionist, administrative, medical office, or legal office experience is preferred.
  • Law firm or personal injury experience is a plus but not required for the right candidate.
  • Excellent verbal and written communication skills.
  • Professional and courteous telephone etiquette.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a fast‑paced environment.
  • Comfortable learning and using case management software, online medical record portals, Microsoft Office, email, and other office technology.
  • Strong computer and data‑entry skills.
  • Ability to communicate professionally and compassionately with individuals who may be injured, frustrated, or experiencing difficult circumstances.
  • Ability to maintain strict confidentiality regarding client and case information.
  • Dependable, punctual, and able to maintain consistent attendance.
  • Positive attitude and willingness to work collaboratively as part of a team.
