We’re hiring a driven real estate executive assistant to support the Team Lead and carry out basic administrative tasks. You’ll serve as a liaison between the broker and clients and be responsible for screening and conveying relevant messages and making appointments, and travel arrangements for the broker. You will also be responsible for event management for client events, creating marketing materials, for the safe-keeping of customer information in the database, keeping the office supplies well-stocked, and working with other departments when necessary. Working Hours This role is in-office only. No remote work. This part-time role requires a minimum of 30 hours per week, working 4 days per week in our Wauconda office and 1 day per week in our Barrington or Libertyville office. Weekday hours will be either 9am - 3:30pm or 10am - 4:30pm. There will be a few infrequent nights and weekend dates required to attend planned client events. Flexibility in scheduling is available to accommodate personal needs and team requirements. Paid Holidays and time off included. Responsibilities: • Function as the main point contact for the principal broker • Oversee the broker’s schedules, team meetings, and travel arrangements • Support the real estate office as needed with other assistant duties, such as picking up orders • Complete elementary bookkeeping tasks for the broker • Convey messages to broker that were received through phone calls, emails, memos, or reports • Purchase supplies and follow office protocols • Utilize database to safely keep track of customer records • Plan and schedule client events, ensuring all details are meticulously organized • Handle mailers and mailings, including the creation and distribution of marketing materials Qualifications: • Excellent communication skills and organizational skills • Can work on deadline and handle private client information • Real estate experience preferred but not required • 2-3 years experience providing administrative support in a personal assistant role, or similar • High school diploma or equivalent required Compensation: $20 - $23 hourly
