Trope Publishing Co. is seeking an enthusiastic and highly organized Office Manager to join our growing book and print business. Working closely with the Publisher and Associate Publisher, the Office Manager will provide administrative support and ensure the office runs efficiently. They will also provide sales and marketing support, including tracking editorial submissions, managing inventory and reprint schedules, and coordinating with external vendors. The Office Manager will play an important role, representing Trope as the first point of contact for customer service inquiries and support.

This position is based in Chicago, Illinois with office space at the Kimball Arts Center. This is not a remote position.

Responsibilities

  • Provide administrative support to Publisher.
  • Maintain web orders and serve as point person on customer inquiries, providing excellent customer service.
  • Manage editorial submission process and coordinate communication with authors and photographers.
  • Manage logistics regarding shipping, billing, and invoicing of book projects.
  • Schedule meetings, appointments, and travel arrangements. Organize events, including pop-up bookshops and gallery events.
  • Provide general office support, including managing office print and book library, and ordering and managing office supplies as needed.
  • Address office and building-related issues and coordinate with building management to find solutions to problems.
  • Perform other related duties and participate in special projects as assigned.

Qualifications

  • 1+ year relevant work or internship experience
  • Computer proficiency including the Microsoft Office Suite
  • Demonstrated time-management and organization skills, and appreciation for detail
  • Excellent oral and written communication skills
  • Must have the ability to plan ahead and juggle priorities across multiple projects with a meticulous eye for detail
