Job summary

Sports Facilities Management, LLC is seeking a highly organized Proposal Coordinator in Clearwater, FL, within the Business Development department. This role coordinates the RFP workflow, gathering content, tracking deadlines, and ensuring compliant, on-time submissions.

Reporting to the Director of Business Development, you will drive proposal quality, maintain templates, and work with internal teams and external partners to win opportunities in a fast-paced, collaborative environment.

Qualifications

• Three or more years of experience in marketing, sales, and/or business development.
• Proficiency using MS Office suite and Adobe InDesign.
• Demonstrated ability to create high-quality, custom documents while maintaining brand standards.
• Proactive problem-solver who can push work forward independently.
• Confident communicator who can work with leadership at all levels.
• Two+ years of experience leading the RFP response process.

Responsibilities

• Lead and coordinate the development of proposals (RFPs, RFIs, RFQs, SOQs) from kickoff through final submission, ensuring deadlines are met.
• Collaborate with the Business Development team, sales reps, SMEs, and leadership to gather project information and shape win themes.
• Manage proposal timelines, tasks, and deliverables, tracking progress and accountability.
• Use Adobe InDesign to format, layout, and produce brand-aligned proposal documents.
• Review, edit, and refine content for clarity, consistency, and compliance.
• Maintain and update proposal templates, boilerplate content, resumes, and reference libraries.
