Job summary

Rycon Construction, Inc. in Pittsburgh is seeking a highly organized Proposal Coordinator to support nationwide pursuit materials. You will coordinate proposals from kickoff to submission, craft visually compelling documents, and ensure accuracy, branding, and on-time delivery.

Collaborate with executives, estimators, BD, and outside consultants; manage content, graphics, and boilerplate. A Bachelor’s in Marketing or related field and 3–5 years of proposal experience are preferred.

Qualifications

• B.S. in Marketing or related field degree preferred.
• 3-5 years in proposal or marketing; construction/architecture/engineering experience preferred.
• Strong proficiency in Adobe InDesign; Illustrator and Photoshop knowledge.
• Proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook).
• Experience creating graphics and infographics.
• Excellent organizational and time-management skills.
• Ability to meet tight submission deadlines.
• Strong writing, proofreading, editing, and verbal communication.

Responsibilities

• Assist the Proposal Manager with coordination and production of proposals and pursuit materials.
• Create customized, visually compelling proposal materials and visuals.
• Review RFPs and bid invitations to identify requirements and deadlines.
• Lead internal kickoff meetings, assign responsibilities, and track deliverables.
• Oversee proposals to completion and maintain deadlines with teams.
• Support bid submissions including approvals and notarization.
• Maintain client/bid portals and required documents.
• Coordinate electronic submissions ensuring all docs are signed and uploaded.
• Collaborate with executives, operations, estimators, BD staff and consultants.
• Gather proposal information via research and meetings.
• Proofread and format content for clarity and consistency.
• Maintain Rycon branding across proposals and marketing materials.
• Assist with maintaining proposal resources and boilerplate content.
• Promote Rycon Construction within the industry via networking and social media.
