Jobtailor in San Antonio is seeking a Proposal Coordinator to support the development of complex, multi-disciplinary proposals and SOQs. You will coordinate proposal preparation, development, and layout from kickoff through final delivery, ensuring on-brand formatting.

Ideal candidates have a bachelor’s degree in a related field, 4+ years in proposal coordination (AEC preferred), strong writing and editing skills, and the ability to manage multiple deadlines with cross-functional teams.

Qualifications

• Bachelor’s degree in English, Communications, Marketing, or related field preferred.
• 4+ years of experience in a proposal coordination role, preferably in the AEC industry.
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat.
• Strong writing, editing, and proofreading skills.
• Excellent organizational skills and ability to manage multiple concurrent deadlines.
• Ability to collaborate with technical and non-technical staff.
• Availability Monday–Friday, 8am–5pm, with overtime as needed.

Responsibilities

• Support the development of complex, multi-disciplinary proposals and statements of qualifications (SOQs)
• Coordinate proposal preparation, development, and layout from kickoff through final delivery
• Format documents and ensure brand compliance and proposal consistency
• Ensure proposals meet compliance requirements and align with evaluation criteria
• Manage content development with marketing, technical staff, and leadership input
• Manage proposal schedules and pursuit checklists
• Facilitate proposal kickoff and milestone meetings
• Support QA/QC processes for high-quality, error-free deliverables
• Maintain and update proposal databases, libraries, boilerplate material, and templates
• Conduct research and gather information from internal teams
• Track and manage multiple deadlines, prioritizing tasks based on project needs
• Contribute to proposal process improvements and content updates
